Scope of this Notice

This Privacy Notice applies to visitors, guests, delivery personnel, job applicants, service providers, and other individuals who physically enter or visit any PSSLAI office, branch, or premises ("Visitors"). It explains what personal data we collect from you during your visit, why we collect it, and how we protect it, in accordance with the Data Privacy Act of 2012 (RA 10173), its Implementing Rules and Regulations, and relevant issuances of the National Privacy Commission (NPC). 

This Notice is separate from, and does not replace, the Privacy Notice that applies to PSSLAI members and employees.

Our Commitment to Privacy

PSSLAI adheres to the principles of transparency, legitimate purpose, and proportionality. We respect your privacy and your data privacy rights and we employ reasonable measures to protect your personal data in accordance with Republic Act No. 10173 or the Data Privacy Act of 2012 (DPA), its Implementing Rules and Regulations, and the various issuances of the National Privacy Commission (NPC).  

WHAT WE COLLECT  

When you visit our premises, we may collect the following:

• Visitor Logbook Details: Name, signature, contact number, company/organization represented, purpose of visit, and person/department being visited.
• Identification: Valid government-issued ID, presented for verification purposes only  
• Vehicles: Plate number
• CCTV Footage: Images captured by closed-circuit television cameras installed in common areas, entrances, and other designated locations within our premises. 
   

WHY WE COLLECT VISITOR INFORMATION  

We use the information collected to:

• Verify your identity and manage access to our premises;
• Ensure the safety and security of our employees, members, visitors and guests;
• Maintain records for incident investigation, audit, or law enforcement purposes, when necessary;
• Comply with building administration, fire safety, and other regulatory requirements; and
• Respond to emergencies within our premises. 

We do not use visitor information for marketing, profiling, or any purpose unrelated to security and premises management. 
 

HOW WE USE, STORE AND RETAIN VISITOR INFORMATION

Sharing and Disclosure

• Authorized PSSLAI personnel who require access to perform their official duties and responsibilities;
• Government authorities or law enforcement, when required by law, regulation, a valid court order, or other lawful process; and
• Our security and safety personnel, strictly on a need-to-know basis and subject to appropriate confidentiality and data protection obligations

Storage and Retention

• Visitor logbook entries and CCTV footage are stored using appropriate physical and/or electronic safeguards and are retained only for as long as necessary to fulfill the purposes for which they were collected, including security, investigation, audit, or legal purposes, and in accordance with PSSLAI's records retention policies and applicable laws and regulations. Once the applicable retention period has expired, the information shall be securely disposed of or deleted in a manner that prevents unauthorized access, use, or disclosure, subject to any lawful requirement to retain the information for a longer period. 

Data Privacy and Security Measures

• Controlled access to visitor logbooks, identification records, and security records;
• CCTV systems limited to designated areas, with access restricted to authorized personnel based on their roles and legitimate need;
• Secure storage and handling of physical visitor records;  
• Appropriate safeguards for electronically stored Visitor Information;
• Confidentiality obligations for personnel who handle Visitor Information; and
• Regular data privacy and security awareness training for personnel involved in collecting, accessing, or processing visitor information. 

YOUR RIGHTS AS DATA SUBJECT  

Under the Data Privacy Act of 2012, you have the right to:

• Be informed of how your personal data is collected and processed;
• Access the personal data we hold about you;
• Rectify inaccurate or incomplete data;
• Erasure or blocking, under certain circumstances;
• Object to processing, in certain situations;
• Data portability, where applicable;
• File a complaint with PSSLAI or the National Privacy Commission
• Damages: for any harm sustained due to unauthorized or unlawful processing of your data.
